RMS User Suggestions

RMS User Suggestions enables RMS customers to add new feature suggestions they would find of benefit as well as vote on suggestions made by other customers.

All feedback is actively monitored by RMS Product Development with the highest voted suggestions reviewed for inclusion in a future development cycle.

The more votes a suggestion receives by customers the sooner it goes for consideration into a future development cycle.

  2. I would like a yes no field for electronic notice consent so that I can easily see who has agreed to receive notices electronically.

    As you are possibly aware, as of 1st July 2019 we can ask our Park Residents to sign an ‘Electronic Notice Consent’ so that we may send any notices electronically. There does not seem to be a field in RMS where we can record ‘Electronic Notice Consent Yes or No’. We were wondering if there was an ‘Electronic Notice Consent’ field in RMS (can’t see one) or if RMS would be able to make a field for this? EN Consent? Then we could run a report to excel and have a current list any time we need to send bulk…

    Introduced alongside GDPR in 2018 and currently available in all versions of RMS 9+ is the ability to define customised Yes/No filters for marketing or communication purposes against Guest Profiles.

  3. Improve Housekeeping Clean screen

    Could we have the ability for option to print Housekeeping Clean Screen in numerical order? It's a big issue for the boss when they come to do property inspections and find everything grouped in room types for 3 floors instead of room number order.

  4. I would like to run the cash transactions report as an Excel or csv file

    I would like to be able to run the Cash Transactions report as an Excel or CSV file so as to import the date into other charts we are using for bookkeeping.

    All reports can be exported to .csv, .xslx (Excel), PDF, RTF, XPS or HTML as required from the Report Preview screen after selecting ‘Build’.

  5. A report of Repeat Charges currently in place

    I would like a report of Repeat Charges currently in place. This would allow us to audit to make sure the charges have been added to guests accounts for future charges. We are an RV resort with annual reservations. We bill cable and washer charges to guests coming back for the season and the procedure is to set up the Repeat Charge when they return in the fall. This sometimes gets forgotten and it would make it very helpful to have the report without having to go to each individual reservation and click down several screens to get to the…

    Currently available in RMS 9+ is the Repeat Charge Report which will generate based on a variety of chosen options and display the details of the Repeat Charges for the period and options selected.

  6. Guest details on Company invoice

    Company Invoices do not show the guest name. It should at least be an option for the Invoice to show the guest name. We are only a small operation and we have been requested that this occur. I am surprised no larger businesses do not need this for corporate clients.

    Currently available in RMS 9+ on any Tax Invoice generated where the Bill To is the Company or Travel Agent, the Guest Name will appear in the lower right section of the Tax Invoice Header (above the tax column) and in line with the Tax Invoice Number.

    As the Guest is not the bill recipient, these details do not show in the primary Bill Recipient section.

  7. Edit the Base rate based on a nightly rate as opposed to the total base rate

    When editing the base rate in a reservation it would be good to be able to put in the nightly rate you want to charge/change and calculate the total base rate. As opposed to putting in the total then that being divided up over the reservations nights.

    The Base Rate override matches the Property’s selection to use Total Rate or Nightly Rate for overriding purposes. However, by selecting Total Rate and viewing the Total Rate Breakdown you can override individual nights or per night as required.

  8. Out Of Service

    Please make out of order and service two separate options because they have 2 different meanings. It will help us to have correct occupancy and revenue reports.

    As of now when we put room in maintenance it still includes in the inventory, which is not right. To take out the room from inventory we should use this option and if out service option if we still wants the room to show in the inventory.

    Most of the PMS has this option but not RMS which is sad that no one really taking this topic to light as it effects daily…

    Currently available in RMS 9+ is the ability to setup whether Maintenance Reservations are included as available inventory or not.

    To review this, have your System Administrator go to Setup > Property Options > Property Information and edit the property profile.

    In the ‘Options’ section of the Property Information tab a checkbox is available ‘Include Maintenance in Avail for Occupancy’. To exclude Maintenance as available, ensure this checkbox is not ticked then Save/Exit.

  9. "Requirements" to automatically be added to form letters. I.e a booking letter.

    We use RMS at our Caravan park. It would be so useful if the "requirements" section would be automatically be transferred to a form letter. for example - If a guest in requiring addition linen, additional linen has a fee, If we send a "booking" letter it calculates tariffs, deposits etc but if there are any requirements (with or with out a charge required) we have to manually add it to our booking letter before sending. which can be easily forgotten and a bit of a pain if forgotten.

    Currently available in RMS 9+ is the ability to add merge fields to form letters that can populate Requirements from the reservation into the merged letter. There are a number of merge fields available depending on the information you would like to include in your letter.

  10. Better tracking of hire equipment/trundles/portacots

    Currently we have our trundles, portacots etc set up as their own sites. We add them to a room booking so we can track how many we still have available. BUT the issue is that on the houskeeping report it doesn't tell our housekeepers which room has booked the trundle/portacot etc so we have to manually look this up and write it on their report.
    Surely there must be a better way to manage hire equipment bookings (as we could use this for bikes, buggies etc) which also charges them the correct amount and puts it on the housekeeping report…

    Currently available to be setup in RMS 9+ is a complete range of customised colours for the RMS IBE. The colours selected here will also apply to the Availability Calendar online as well as the ‘Call to Action’ buttons such as “Search” and “Book”.

  13. Booking Chart type chart for Add Ons

    I would like to see a booking chart style of chart that is availible for Add ons, specifically for those properties who use add ons to assign car parking.

    As we know it is an absolute pain to balance the add ons chart as there isnt a physical way to see who is assigned to who.

    A booking chart style chart I believe would assist greatly in helping properties to balance their car parking and other add ons especially when extending long stay bookings.

    Currently available in RMS 9+ is the ability to display Add Ons on the Booking Chart, allowing for viewing and managing add on reservations alongside existing reservations.

    This can be enabled per user by going to the Booking Chart > Options and selecting the checkbox ‘Display Add Ons’.

    In addition to this setting, a standalone Availability style chart is available for Add Ons.

  14. shopping cart

    Can we have a shopping cart added to the rms book now button so guest can purchase other items such as theme park tickets, meals etc.. as part of their reservation experience. This will enhance the guest experience and add to revenue. I believe Newbook already has this feature as well as many other hotel reservation systems.

    Have the ability to add free text to RMS reports eg:-
    Accommodation and Extras Statements - ability to add "If you enjoyed your stay please post a comment on Trip Adviser"
    Invoices and Receipts - ability to add our bank details (BSB, Account #, etc)

  16. Can clients be set up as blacklisted WITHOUT staying at site?

    It would be fantastic to be able to set up clients as blacklisted without them being guests. We get quite a few notifications from other parks about problematic guests (*eg slaughtered a pig in the camp kitchen at midnight!!), we don't always have much info (sometimes only a rego number) so it would be FANTASTIC to be able to setup a blacklist with very minimal information.

    To setup a reported person in RMS straight onto the Blacklist without a corresponding reservation, add a new Guest Profile from the Guest Search screen.

    When adding the Guest, provide as much information as you have received in the fields, including the Car Registration, any names etc then mark them onto the blacklist.

    This info will come up when using the Smart Search to add a Reservation, enabling staff to identify this person as a no-go guest.

    WE adjust the column order/width a lot in the in/out screen; but everytime we have an upgrade all our careful changes vanish. Can we keep customisations when upgrading? It takes quite a bit of time to get everything set up 'just so' so that it reflects the info we need.

    Currently available in RMS 9+ is the ability to save the user’s preferences to the column display order and customisations on the In/Out screen.

    To lock these preferences in place after making them, select the ‘Exit’ button on the In/Out screen and RMS will save the column display settings to that user for next time.

  18. smart printing

    Smart Printing needs an option to set the number of copies to print. It's currently completely useless for printing receipts because you need one copy of the receipt for the guest to sign and retain and one copy for the guest to keep.

    Currently available in RMS is the ability to specify the number of copies to be printed for Receipts, Statements and Tax Invoices (up to 10 copies).

    To do this have your System Administrator complete the following:

    - Go to Setup > Accounting > Accounting Options in RMS.
    - Navigate to the ‘Print Options’ tab.
    - Enter the number of copies in the ‘Smart Printing’ section.
    - Save/Exit.

    Currently available in RMS 9+ is the ability to setup multiple allotments against a Travel Agent and can be Property specific if working in an Enterprise version. When editing, all the same options are available for selection same as when first creating the allotment.

  20. Number of years available online

    On our property we only take reservations for the current year. I had to put a stop sell for years 2020 through 2049. I don't know if 2049 was the last year, but it seemed sufficient for me. Maybe if there was a way for us to choose what years can be available online, and not done automatically - that would be helpful.

    Currently available in RMS 9+ is the ability to setup Rates for a specific length of time as well as the ability to setup Default Allotments or Channel Allotments that can assist with restricting how far in advance reservations are accepted from Online Channels.

    When setup to use an All Year Round Rate available to the RMS IBE, this will allow reservations far into the future as the All Year Round Rate goes indefinitely.
