RMS User Suggestions

RMS User Suggestions enables RMS customers to add new feature suggestions they would find of benefit as well as vote on suggestions made by other customers.

All feedback is actively monitored by RMS Product Development with the highest voted suggestions reviewed for inclusion in a future development cycle.

The more votes a suggestion receives by customers the sooner it goes for consideration into a future development cycle.

  1. Can clients be set up as blacklisted WITHOUT staying at site?

    It would be fantastic to be able to set up clients as blacklisted without them being guests. We get quite a few notifications from other parks about problematic guests (*eg slaughtered a pig in the camp kitchen at midnight!!), we don't always have much info (sometimes only a rego number) so it would be FANTASTIC to be able to setup a blacklist with very minimal information.

    To setup a reported person in RMS straight onto the Blacklist without a corresponding reservation, add a new Guest Profile from the Guest Search screen.

    When adding the Guest, provide as much information as you have received in the fields, including the Car Registration, any names etc then mark them onto the blacklist.

    This info will come up when using the Smart Search to add a Reservation, enabling staff to identify this person as a no-go guest.

    WE adjust the column order/width a lot in the in/out screen; but everytime we have an upgrade all our careful changes vanish. Can we keep customisations when upgrading? It takes quite a bit of time to get everything set up 'just so' so that it reflects the info we need.

    Currently available in RMS 9+ is the ability to save the user’s preferences to the column display order and customisations on the In/Out screen.

    To lock these preferences in place after making them, select the ‘Exit’ button on the In/Out screen and RMS will save the column display settings to that user for next time.

  3. smart printing

    Smart Printing needs an option to set the number of copies to print. It's currently completely useless for printing receipts because you need one copy of the receipt for the guest to sign and retain and one copy for the guest to keep.

    Currently available in RMS is the ability to specify the number of copies to be printed for Receipts, Statements and Tax Invoices (up to 10 copies).

    To do this have your System Administrator complete the following:

    - Go to Setup > Accounting > Accounting Options in RMS.
    - Navigate to the ‘Print Options’ tab.
    - Enter the number of copies in the ‘Smart Printing’ section.
    - Save/Exit.

    Currently available in RMS 9+ is the ability to setup multiple allotments against a Travel Agent and can be Property specific if working in an Enterprise version. When editing, all the same options are available for selection same as when first creating the allotment.

  5. Number of years available online

    On our property we only take reservations for the current year. I had to put a stop sell for years 2020 through 2049. I don't know if 2049 was the last year, but it seemed sufficient for me. Maybe if there was a way for us to choose what years can be available online, and not done automatically - that would be helpful.

    Currently available in RMS 9+ is the ability to setup Rates for a specific length of time as well as the ability to setup Default Allotments or Channel Allotments that can assist with restricting how far in advance reservations are accepted from Online Channels.

    When setup to use an All Year Round Rate available to the RMS IBE, this will allow reservations far into the future as the All Year Round Rate goes indefinitely.

    Currently available in RMS is the ability to ‘Email Statement’ from the AR Statement Report build screen.

    By selecting this option and generating the statements, a copy will be emailed to all Companies and Travel Agents that are setup with a valid email address.

    Currently available in RMS 9+ is the ability to perform a pre-authorization when connected with a compatible Payment Gateway.

    The Pre-Auth Token button will appear on the Guest’s Reservation 1 Day prior to arrival and can be created without the need to check the reservation in.

    Currently available when setting up Derived Rates in RMS 9+ is the ability to use the Min/Max Nights setup on the Master Rate (Default) or setup new Min/Max Nights specifically for the Derived Rate.

    In the case where setting up a Derived from Derived, the primary Derived Rate is considered the Master Rate.

  10. REPLACE token "description" field with "cardholder name"

    When you open a token it displays a "description" field which seems to serve no purpose. It would be much more useful to replace that field with "cardholder name" so you could view at quick glance instead of having to open each token to view name.

    The ‘Description’ field for Token creation is required to be available to allow customers to quickly identify between multiple available tokens. For your scenario we would recommend entering the Card Holder Name as the Token Description if thats how you would want to identify the tokens.

    I would like to have a report where you can summarize how many bookings per user has entered in RMS (monthly, preferrably)
    My client wants to have an incentive among his employees (which are the users of RMS) and we are looking for a report that can reflect how many bookings does a user booked in a month. Currently, there is an existing report in RMS but it is very tedious to use that.

    Currently available in RMS 9+ is the Management > Reservations > Made / Modified report which can be generated for a date range and Grouped By User, using the default option of ‘New Reservation’ to only show newly created reservations.

    When building in this way a total will be shown under each User’s list of reservations made.

  12. We would like to be able to set a reservation as long term so that it applies the conessional GST rate without having to add repeat charge.

    Our client has fruit pickers who use the premises during the off season. These tenants have agreed to be onsite for over 4 weeks, so need to be charged a concessional rate of GST from day 1. We wish for there to be an easy way mark these reservations as long term and use the concessional rate for GST purposes easily and quickly without having to setup repeat charges etc.

    Currently available in RMS 9+ when setup to use Concessional GST is a field on the Account column of the Reservation Screen ‘Use Concessional GST from Day 1’.

    This allows for setting the reservation to use Concessional GST from day one without the dependence on Repeat Charges etc.

  13. Option for Static Holiday Caravans to be blocked out as Out of Order from booking chart

    At the moment when you use this function it shows as the caravan being under maintenance on the chart, this might not be the case, it would be helpful if it had a sub drop down so you could choose either maintenance, not in use or owner booking.

  14. I would like to be able to send the email blast to both primary and secondary guest.

    You should allow blasts to ALL guests, not just primary. If you wanted to send it to the primary only, you could easily click that button on the In/Out Movements. Otherwise, I have to email each guest individually, which defeats the whole purpose. I have a few couples staying with us that INSIST that they receive separate emails. Please allow email blasts from In/Out Movement to be sent to each guest entered into the system.

  15. Tab & key click functionality

    When entering a reservation, I "tab" from one field to the next. Some fields are drop down menus. Can you make those drop down menus key stroke enabled? For example; in "Rig Type" there's a list of options. At this time, I have to mouse to the drop down arrow, mouse to my selection and click. Ideally, they system would allow me to tab into that field and then click on the "f" key to automatically get me to "fifth wheel", then I can tab to "rig length" and click on the "3" key to select "30ft".     Currently available in RMS 9+ when using the Tab key to navigate through Reservation Screen fields, any drop down list style fields can enter a letter or series of letters then use the ‘Enter’ key to open the list and filter down to the text entered.

    In your scenario you could Tab to the ‘Rig Type’ field, type ‘F’ or ‘Fif’ or ‘Fifth’ etc and press the ‘Enter’ key to have the list opened with ‘Fifth Wheel’ then press ‘Enter’ a second time to confirm the selection into the field.

    We endeavour to continually improve key screens in RMS such as the Reservation Screen with the users in mind so if at any time there is ever a field that doesn’t behave the way described above please do let us know.

  16. More Options Needed - Links to drill down on the dollar $ amounts to see for the back reporting options for our RV/Campground Resort

    More Report Options Needed - Links to drill down on the dollar $ amounts to see for reporting on each line item, making the report fully functional in viewing what makes the amount total what it does for that time period.

    This would be helpful for all reports. If you want the system to be fully functioning towards financial reporting this would be a huge plus to add.

    Currently available in all versions of RMS 9+ is a variety of Financial and Operational Reports. Financial Reports include Cash Transactions and Charge Reports plus much, much more.

    Should there be any specific report or additional information desired for a particular report, please feel free to lodge the suggestion for that specific item so users can vote and review.

  17. RV Resort/Campground in need of In/Out Screen to be set and stay on fields we need.

    In/Out Movements Screen to be able to sort the columns per user or by property to set the screen layout as needed. There is to many options that you have to scroll across to find and the ones we need can be set and left the main ones. But every time you change the screen to another area it goes back to a main reset.

    Very important information to see on a daily basis.

    Once columns have been re-ordered to the user’s preferences, select the ‘x’ button to exit the screen and save these preferences.

    Setting this up for use with RMS IBE makes the guest pay in full for their booking at the time of booking.

  20. Add options to filter room types for ARR DEP SO forecast

    As we are a strata hotel I need an option to filter out room types to remove permanent resident and live on staff. Currently not having that filter I can not get a true number. Without having that option I have to pull many reports for arrivals, departures and inhouse guests.

    Currently available in RMS 9+ on the Arr Dep SO Forecast Report is the ability to filter by Area Stats On or Off.

    It is recommended for multiple areas in RMS to turn Area Stats Off for any Staff or Permanent accommodations you do not wish to include in statistics.
