RMS User Suggestions

RMS User Suggestions enables RMS customers to add new feature suggestions they would find of benefit as well as vote on suggestions made by other customers.

All feedback is actively monitored by RMS Product Development with the highest voted suggestions reviewed for inclusion in a future development cycle.

The more votes a suggestion receives by customers the sooner it goes for consideration into a future development cycle.

  1. Expand "special event" to 3 rows

    The Booking Chart has a row at the top "Special Events". It is very useful to us when guests ring to book, as we can either explain why we are booked out, or what events are on during their stay, or encourage them to stay longer because xyz event is coming up.. It has many uses.
    It often occurs that there are more than 1 event on the same day. Is it possible to get RMS to increase this to 3 rows?

    Currently available in RMS 9+, the Special Events row on the Booking Chart will expand to display as many Special Events as have been setup across the viewed date range for the Property being viewed.

    This applies to other charts in RMS where the Special Events row is available.

  2. Tariff / Availability Chart - Ability to view total property occupancy as a figure and percentage

    It would be very handy to see the sum of all room types displayed as a figure and percentage for each day at the top or bottom of this chart. This would help highlight busy and quite periods for the entire property and not just room types.

    The option to highlight 100% occupancy for both room types and days would be great.

    Currently available in RMS 9+ both on the Rate Manager & Availability Chart are occupancy views that will display occupancy for either the Property or Category depending on the option selected in Setup > Property Options > Property Information.

  3. Wider time range for ETA times - online bookings

    At the moment the ETA field for online bookings is auto-filled with times from 2pm - 10pm.

    Just because standard check-in time is 2pm, doesn't meant the guest is expecting to arrive at 2pm.

    It would be helpful for our staff to know actual times the guests are expecting to arrive.

    Could we have the ability to manage the times that appear in the ETA drop down for online bookings?

    Currently available in RMS 9+ is the ability to setup available Arrival Times for guests to select both in Online Options for use with the RMS IBE as well as the Guest Portal setup.

    For Online Options, this setting can be found on the ‘Page Settings’ tab and the time range selected will adjust what times are available for the ETA field online.

  4. Enhance the RMS emails sent for Booking.com bookings. They need more information

    Currently these emails provide no information on the change that has taken place.

    The emails need to clearly state the original booking details, the modifications that have been made, and a credit card number if the credit card has been updated in Booking.com.

    If the guest has updated their credit card details, this new card needs to integrate into RMS.

    Also, the subject line is the same for all "Booking.com Modification". This means the emails become grouped as one email in our email accounts. The Booking ID should be in the subject line to make the emails unique.

    Currently available from RMS are Booking.com modification emails that includes the original Guest Name, Arrive & Depart Dates as well as the individual fields that have been modified and what they were changed to.

  5. Add Cancellation Policy by Tariff Type, not once per property

    Currently, we cannot have more than one cancellation policy. We can only set it once. It is common that properties manage their promotions and peak periods with different cancellation policies, especially a non-refundable policy.

    We should be able to create multiple cancellation policies, and link these to the Tariff Types. This should feed through to RMS Online bookings as well as bookings made direct in the RMS system. All 3rd party booking channels already allow this.

    Currently available in RMS 9+ is the ability to set Cancellation Policies per Rate Type, per Property. These will then apply anywhere that Rate Type is used.

  6. To be able to email a rooming list directly from RMS

    It would so much easier and less time consuming if we were able to email a group rooming list directly from RMS instead of having to build a rooming list, export it, then open an email program, and send an email by attaching the file. It is all well and good that this is able to be done in RMS9+ but we aren't using RMS9+.

    Currently available in RMS 9+ is the ability to email the Area List from the Group Reservation by selecting ‘Email’ on the build screen.

    On a Group Reservation, navigate to the Area tab, select the ‘Area List’ button and choose the options required. From this build screen, select ‘Email’ to send instead of printing.

    It would be really helpful to us if we could select ETA's to show on our arrivals list so we know what times people will be arriving. We can not currently seem to do this.

    We are pleased to advise that currently available in RMS 9+, the Arrival List Report includes the ETA column by default. When an ETA has been set against a reservation this will be displayed on the report for user convenience.

  9. In the IN/OUT Movement screen could a column be added showing boomgate status eg. out or in

    Is it possible to add another column to the IN/OUT movement screen showing the car has departed. At our park the caravan & tent sites on the day of departure can vacate the park at 10 am without presenting at the office. We then have to go into the individual reservations to see if they have left the park. Thanks guys

    Currently available on the In/Out screen in RMS 9+ is the column displaying Boomgate Status.

    Due to the number of columns available on this screen, you may choose to re-order the columns and select ‘Exit’ button to store these preferences against the current logged in user for future use.

  10. Early Check In Flag

    We have kept missing our early check ins because the front desk has no simple way to know ahead of time.

    Currently you can set the arrival time and it will show up on the in/out screen - but our problem is that with having a large number of rooms/cabins/houses these numbers are very difficult to identify on the in/out screen.

    My suggestion is to have a color flag or icon showing up on the specific reservation in the occupancy grid. This way with a glimpse at the occupancy grid we will know who will be arriving early and warn…

    Currently available in RMS 9+ is the ability to setup requirements which can then be used to display on Housekeeper Report, Requirement List Report and To Do Chart.

    These are often used by our users for Early Check-ins and Late Check-outs in addition to other varieties of reservation requirements to quickly and easily flag them to staff.

    Currently available for setup in RMS 9+ is the ability to specify a minimum and maximum number of additional charge type labels, such as dogs on a Rate Type.

    These additional labels can optionally be displayed to RMS IBE by selecting them in Online Options setup and if the Rate Type is made available to RMS IBE, the limitations will apply during the booking process the same as if 3 Adults are chosen and Categories are setup to accept no more than 2.

  12. Ability to set rate for all rooms in a group reservation, simultaneously

    For large groups with negotiated rates, where all rooms are the same rate, it would be very helpful to be able to override the rate on the Group Master to have this rate apply to all the rooms in the group.

    I work at a hotel that negotiates special rates for individual groups, separately, and does not use one or two rate types for all group reservations.     As part of our ongoing enhancements to the functions available to Group Reservations, the ability to override all siblings within a group from a single screen is currently available within RMS 9+ Beta.

    Whilst viewing any Group Reservation, navigate to the Area tab and select ‘Update Sibling’ from the bottom of the screen. This menu will provide multiple options for bulk updating the siblings within the group simultaneously, including the ability to override the Base Rate, set a Discount or change the Rate Type for one or many of the siblings in one screen.

    Currently available in RMS 9+ is the ability to set a Default Rate Type for use on the Quick Quote screen, including Autoload of Quick Quote on selecting the Add Reservation icon.

    By setting the Default Rate Type here, when you create new reservations this rate will be pre-selected.

    Guest invoices to show a total of all receipts and charges separately at bottom of invoice.

    Eg those making several payments during their stay would then have the total showing.

    The additional option to display Receipts on the Tax Invoice will make the Tax Invoice Total reflect the Balance instead of the intended Tax Invoice Total of charges only, with a separate line displaying GST or Tax depending on country of operation. Tax Invoices with Receipts displayed include both charges and receipts in their combined total but Tax Invoices do not display Receipts by default as per Tax Invoice guidelines per region.

    Additional alternate Tax Invoice layouts are available for variations on display of Nett, Gross and Tax components, both existing and customised depending on the individual business requirements.   18. Automatic Creation Of A Token For All Reservations Including On-Line Reservations

    RMS should be able to automatically convert any credit card number received into RMS into a token ready for processing.

    We need to get rid of the number of clicks required to process a credit card.

    Get rid of the vault. You have a token lamp that lights up when RMS automatically produces a token or a red lamp that lights up indicating to the user that you need to contact the guest because something is wrong with the credit card number or expiry date or available funds.

    Currently available in RMS 9+ is the ability to connect with a Payment Gateway. Once connected Online Options can be setup to tokenise guest’s credit card information when processing an online reservation and staff can create a credit card token which can be used for processing payments directly in RMS.

    RMS Vault is a PCI compliant storage method for customers not connected to a Payment Gateway and is not designed to be used for charging guest’s credit cards.

    Opting to enter guest’s credit card information directly into fields on the Guest Details screen of the reservation is not PCI compliant and is at the discretion of the operator.

  19. Automatic Merging of Guest Profiles.

    RMS should be able to automatically merge guest profiles.

    If the guests mobile number and surname match then merge profile.

    Information should not be lost if different. For example email address,

    If one profile has email address A and the other email address be then both email address show on the merged profile.

  20. A "Tick Box" for inactive Guests/Companies

    It would be great to have a tick box in a customer or company profile that flags them as inactive. That way we can flag companies or guests that no longer stay but does not affect any previous reservation they have had. This way it limits the amount of people under surnames etc we may use to search with or if a guest has multiple entries using the same name.
