RMS User Suggestions

RMS User Suggestions enables RMS customers to add new feature suggestions they would find of benefit as well as vote on suggestions made by other customers.

All feedback is actively monitored by RMS Product Development with the highest voted suggestions reviewed for inclusion in a future development cycle.

The more votes a suggestion receives by customers the sooner it goes for consideration into a future development cycle.

    We are pleased to advise that an option has been added to the Corrections menu on Accounts in RMS providing the ability to select and Void multiple Sundry Charges. This option is currently available in RMS 9+ Version 10.17.103.3 or later.

    Further enhancements to this feature have been scheduled for a future development cycle to include other Charge Types & Account Types.

  3. Triggered Correspondence needs more Action options

    Could we have an additional Action added to the Triggered Correspondence please?

    We need to be able to send payment reminders based on the Res - Confirmation date. If a deposit is not paid within 14 days the booking is cancelled.

    We have no way of sending an automatic email to remind customers to pay on time, or an email to cancel. This all has to be done manually which is very tedious!

    Currently available in RMS 9+ Triggered Correspondence setup is the ability to setup a trigger for a set period of time before or after the Reservation Deposit Due Date. This option can be found under the ‘Action’ drop down menu on the Automation tab.

    Additionally the option to setup Triggered Correspondence for specific Booking Sources, Categories, Companies, Rate Types and Travel Agents is available. This allows users to setup a trigger with a specific form letter or SMS template for the required Booking Sources.

    Currently available in RMS 9+ is the ability to open new tabs from menu items, Reservation or Account numbers to work on multiple screens in RMS 9+ without navigating away from incomplete or in progress work.

    To do this at any time, right click the menu item or reservation and select ‘Open in New Tab’ or ‘Edit in New Tab’. and a new browser tab will open without disrupting the view on the current tab.

    In RMS 9+ it is now possible to turn off the Rate Recalculation messages on the Booking Chart and in the Reservation screen, by selecting the Options button and un-ticking the option ‘Show Confirmation Messages.’

    When confirmation messages are not displayed, Rate Recalculation will be defaulted to ‘Yes’ and will not prompt the user each time.

  7. Ability to set rate for all rooms in a group reservation, simultaneously

    For large groups with negotiated rates, where all rooms are the same rate, it would be very helpful to be able to override the rate on the Group Master to have this rate apply to all the rooms in the group.

    I work at a hotel that negotiates special rates for individual groups, separately, and does not use one or two rate types for all group reservations. As of right now, the only way override rates, to add a negotiated rate, is to override the base rate for each individual room in the group. When you book 30-50 room groups,…

    As part of our ongoing enhancements to the functions available to Group Reservations, the ability to override all siblings within a group from a single screen is currently available within RMS 9+ Beta.

    Whilst viewing any Group Reservation, navigate to the Area tab and select ‘Update Sibling’ from the bottom of the screen. This menu will provide multiple options for bulk updating the siblings within the group simultaneously, including the ability to override the Base Rate, set a Discount or change the Rate Type for one or many of the siblings in one screen.

  8. Automatic Merging of Guest Profiles.

    RMS should be able to automatically merge guest profiles.

    If the guests mobile number and surname match then merge profile.

    Information should not be lost if different. For example email address,

    If one profile has email address A and the other email address be then both email address show on the merged profile.

  9. We need to be able to change the number of people in a booking over different dates

    We need to be able to change the number of people in a booking over different dates, for example day 1- 2 adults, day 2- 4 adults.
    This is a basic feature, which will eliminate current incorrect occupancy stats.

    Currently available on the Guest tab of reservations is the ability to specify the reservation dates each guest is included in the occupancy of the reservation.

    Whilst viewing a reservation, navigate to the Guest tab, select a Guest and choose the ‘Edit Dates’ button. This will display a screen to set the individual dates this particular guest is staying.

  10. Wanting to be able to assign a validity date range to the rates so that access to the rate is automatically managed

    Currently, in RMS, you have the ability to assign a Rate Type to a Company/Travel Agent/Wholesaler and it's valid for as long as Rates are loaded or until Rate Type is removed from the Company.

    As part of our business we negotiate with these corporations on their future rates, and from season to season, year to year these negotiated rate types may change. It would be really handy to be able to assign a validity date range to the rates so that access to the rate is automatically managed.

    Currently available in RMS 9+ Beta is the ability to set validation dates against Rates when assigning them to a Company or Travel Agent.

    This allows users to setup Rate Assignment for negotiated rates only during the contract period.

    Currently available in RMS 9+ is the ability to enable Smart Printing. With the installation of a Print Client on one computer sharing a network with printers and defining which preferred printers and paper sizes for various print functions in RMS, these printing tasks can be reduced to 2 clicks.

  12. Automatic Creation Of A Token For All Reservations Including On-Line Reservations

    RMS should be able to automatically convert any credit card number received into RMS into a token ready for processing.

    We need to get rid of the number of clicks required to process a credit card.

    Get rid of the vault. You have a token lamp that lights up when RMS automatically produces a token or a red lamp that lights up indicating to the user that you need to contact the guest because something is wrong with the credit card number or expiry date or available funds.

    Currently available in RMS 9+ is the ability to connect with a Payment Gateway. Once connected Online Options can be setup to tokenise guest’s credit card information when processing an online reservation and staff can create a credit card token which can be used for processing payments directly in RMS.

    RMS Vault is a PCI compliant storage method for customers not connected to a Payment Gateway and is not designed to be used for charging guest’s credit cards.

    Opting to enter guest’s credit card information directly into fields on the Guest Details screen of the reservation is not PCI compliant and is at the discretion of the operator.

    Currently available for setup in RMS 9+ is the ability to specify a minimum and maximum number of additional charge type labels, such as dogs on a Rate Type.

    These additional labels can optionally be displayed to RMS IBE by selecting them in Online Options setup and if the Rate Type is made available to RMS IBE, the limitations will apply during the booking process the same as if 3 Adults are chosen and Categories are setup to accept no more than 2.

  14. 7 clicks to print a tax invoice?

    Issue: It takes 7 clicks to print a tax invoice in RMS 9+ under Google Chrome. It means average 20 to 35 secs (also depends on internet speed) to execute this very important function.

    Suggestion: Promote "Print Invoice", "Email Invoice" to "Accomm" main functions or even upper level to Reservation window's main function keys.

    Currently available in RMS 9+ is an option to enable Smart Printing. RMS Smart Printing allows users to setup preferred printers for specific print actions in RMS, allowing for quicker print job allocation to specific printers with minimal clicks.

    Printing a Tax Invoice from an account can be achieved in as little as 3 clicks with Smart Printing enabled, 5 if choosing the option to Email & Print as there is an email recipient selection for sending to multiple email addresses.

  17. User logs out automatically after non use after so many minutes

    In our prior system, the user logged out automatically after so many minutes of non use for security purposes. With a very busy office and mutiple users on limited number of workstations, this feature may sure the actual user logged in was the person creating the reservation or making changes. If not employees are making changes to reservations in our employee's names.

    Pro Forma Tax Invoices are available to be used and recreated as needed, without the need to cancel on any amendments made to the reservation.

    This leaves the formal Tax Invoice to be used once on finalisation of the reservation account as designed.

    Additionally you may find statements beneficial to provide if the reservation is not yet finalised.

  20. Allow more units to be displayed on booking chart in 9+

    In version 9 at least 76 units can be viewed on booking chart however in v9+ it is only possible for us to see a maximum number of 32 units in 5 categories when we operate in full screen on Google Chrome. 9+ needs the be given the ability to display many more units like that of 9 and to do this we can think of at least 2 ways that this should be able to be done quite simply. One way is to add a number of extra “Row Height” options, as found in booking chart options, such as…
