RMS User Suggestions

RMS User Suggestions enables RMS customers to add new feature suggestions they would find of benefit as well as vote on suggestions made by other customers.

All feedback is actively monitored by RMS Product Development with the highest voted suggestions reviewed for inclusion in a future development cycle.

The more votes a suggestion receives by customers the sooner it goes for consideration into a future development cycle.

    Currently available in RMS 9+ on the Booking Chart is the Text View option ‘Surname Balance’.

  2. Guest details on Company invoice

    Company Invoices do not show the guest name. It should at least be an option for the Invoice to show the guest name. We are only a small operation and we have been requested that this occur. I am surprised no larger businesses do not need this for corporate clients.

    Currently available in RMS 9+ on any Tax Invoice generated where the Bill To is the Company or Travel Agent, the Guest Name will appear in the lower right section of the Tax Invoice Header (above the tax column) and in line with the Tax Invoice Number.

    As the Guest is not the bill recipient, these details do not show in the primary Bill Recipient section.

  3. Out Of Service

    Please make out of order and service two separate options because they have 2 different meanings. It will help us to have correct occupancy and revenue reports.

    As of now when we put room in maintenance it still includes in the inventory, which is not right. To take out the room from inventory we should use this option and if out service option if we still wants the room to show in the inventory.

    Most of the PMS has this option but not RMS which is sad that no one really taking this topic to light as it effects daily…

    Currently available in RMS 9+ is the ability to setup whether Maintenance Reservations are included as available inventory or not.

    To review this, have your System Administrator go to Setup > Property Options > Property Information and edit the property profile.

    In the ‘Options’ section of the Property Information tab a checkbox is available ‘Include Maintenance in Avail for Occupancy’. To exclude Maintenance as available, ensure this checkbox is not ticked then Save/Exit.

  4. Better tracking of hire equipment/trundles/portacots

    Currently we have our trundles, portacots etc set up as their own sites. We add them to a room booking so we can track how many we still have available. BUT the issue is that on the houskeeping report it doesn't tell our housekeepers which room has booked the trundle/portacot etc so we have to manually look this up and write it on their report.
    Surely there must be a better way to manage hire equipment bookings (as we could use this for bikes, buggies etc) which also charges them the correct amount and puts it on the housekeeping report…

    Currently available in RMS 9+ is the ability to setup Add On Categories for items including car parks, porta cots, rollaway beds and any other space or item that can be added onto an existing reservation.

  5. Booking Chart type chart for Add Ons

    I would like to see a booking chart style of chart that is availible for Add ons, specifically for those properties who use add ons to assign car parking.

    As we know it is an absolute pain to balance the add ons chart as there isnt a physical way to see who is assigned to who.

    A booking chart style chart I believe would assist greatly in helping properties to balance their car parking and other add ons especially when extending long stay bookings.

    Currently available in RMS 9+ is the ability to display Add Ons on the Booking Chart, allowing for viewing and managing add on reservations alongside existing reservations.

    This can be enabled per user by going to the Booking Chart > Options and selecting the checkbox ‘Display Add Ons’.

    In addition to this setting, a standalone Availability style chart is available for Add Ons.

  6. smart printing

    Smart Printing needs an option to set the number of copies to print. It's currently completely useless for printing receipts because you need one copy of the receipt for the guest to sign and retain and one copy for the guest to keep.

    Currently available in RMS is the ability to specify the number of copies to be printed for Receipts, Statements and Tax Invoices (up to 10 copies).

    To do this have your System Administrator complete the following:

    - Go to Setup > Accounting > Accounting Options in RMS.
    - Navigate to the ‘Print Options’ tab.
    - Enter the number of copies in the ‘Smart Printing’ section.
    - Save/Exit.

  7. Number of years available online

    On our property we only take reservations for the current year. I had to put a stop sell for years 2020 through 2049. I don't know if 2049 was the last year, but it seemed sufficient for me. Maybe if there was a way for us to choose what years can be available online, and not done automatically - that would be helpful.

    Currently available in RMS 9+ is the ability to setup Rates for a specific length of time as well as the ability to setup Default Allotments or Channel Allotments that can assist with restricting how far in advance reservations are accepted from Online Channels.

    When setup to use an All Year Round Rate available to the RMS IBE, this will allow reservations far into the future as the All Year Round Rate goes indefinitely.

    Currently available when setting up Derived Rates in RMS 9+ is the ability to use the Min/Max Nights setup on the Master Rate (Default) or setup new Min/Max Nights specifically for the Derived Rate.

    In the case where setting up a Derived from Derived, the primary Derived Rate is considered the Master Rate.

  9. I would like to be able to send the email blast to both primary and secondary guest.

    You should allow blasts to ALL guests, not just primary. If you wanted to send it to the primary only, you could easily click that button on the In/Out Movements. Otherwise, I have to email each guest individually, which defeats the whole purpose. I have a few couples staying with us that INSIST that they receive separate emails. Please allow email blasts from In/Out Movement to be sent to each guest entered into the system.

    To do this, ensure to select the checkbox in the ‘Options’ section when creating the template.

  10. I would like you to look Spliting group bookings

    I had a group booking & needed to pull 2 rooms out under another name to send to be paid by a 2nd party. Can we have this capability added.
    another Booking was made then had to be split into 2 teams for invoicing & payment

    Currently available in RMS 9+ is the ability to split a reservation out from a Group Reservation.

    To do this, open the Group Reservation and go to the Area tab, select the required reservation and choose the button ‘Remove from Group’.

  11. RV Resort/Campground in need of repeating charges to have a yearly option. Not just daily, weekly, monthly

    We are in need of repeating charges to have a yearly option. Not just daily, weekly and monthly. This would be an absolute miracle for us to have for our long term residents and long term rentals. We have to have this option to show up on our reporting needs. Our facility is mainly long term and not to be able to have a yearly option is just not a good thing. We would love to have a work around if this can't be an option.

  12. email body view

    View email body.

    When sending out correspondance - occasionally we need to edit an email to add the charge for a rollaway bed, cot etc which we can do however. We want to be able to view our correspondance. At the moment you can only view the attachment but you can't edit the attachment so in this case it wouldn't help to swap them around.

    Currently available in RMS 9+ when sending PDF Form Letters is the ability to preview and edit both the PDF attachment and the email body.

    After selecting the Form Letter and choosing ‘Open’, two tabs will appear in the editor. One will show the PDF attachment and the other is the Email Body from setup.

    Both of these can be customised prior to emailing if required.

  13. Print OTA Notes

    It would be nice to be able to print OTA notes using the Report Writer.
    I have been told that you can print Reservation notes and Guest notes and almost any other notes but no OTA notes......wonder why ?
