RMS User Suggestions

RMS User Suggestions enables RMS customers to add new feature suggestions they would find of benefit as well as vote on suggestions made by other customers.

All feedback is actively monitored by RMS Product Development with the highest voted suggestions reviewed for inclusion in a future development cycle.

The more votes a suggestion receives by customers the sooner it goes for consideration into a future development cycle.

  1. Limit remote access to RMS to be enabled to certain users and not others.

    Currently all users can access RMS remotely provided that they an active user name and password. This function should be limited to managers rather than all staff.

  3. Bulk Email Statements, similar to batch invoice run.

    At the moment you can only email statements by individually going into each account. The ability to email all statements to clients each month via a batch or bulk will save a lot of time.

  4. Triggered Correspondence Idea for specific Travel Agents

    Quick question. I had an idea over triggered correspondence. Our office has a focus this year of converted more phone enquires and promoting our Quest website whilst decreasing the cost of mitigation with third party websites, such as Wotif or booking.com.

    Within triggered correspondence we had the idea of setting up a generic email that could go to reservations that have been made through specific travel agents such as booking.com?

    Is there any way that this function could be added into the triggered correspondence field? Using the Travel Agent field in the reservation or the Market or submarket fields with…

  5. Different file types in "Received (In)" Correspondence required

    You should be able to receive and upload ("Received (In)") correspondence in various file types. This allows flexibility to add guest correspondence in a format in which it is received, instead of having to convert the file in order to upload it.
    For example, rooming lists, contracts, email trails could be received in PDF / Word / Excel or HTML document formats, and the ability to simply attach these files to a reservation / company profile would be very useful.

    The ability to record and save Received In Correspondence with attachments is currently available on Guests, Reservations, Companies & Travel Agents in RMS 9+.

    Additionally the ability to include adhoc attachments when sending out Correspondence is also available.

  6. Supervisor setting for mobile housekeeping

    Create a 'supervisor' housekeeping profile that can see and complete all rooms. The supervisor quality controls the room before releasing for check in. Unfortunately the current setup does not allow her to see all rooms and completed them making the current system unusable. Can this be looked at?

    The RMS Housekeeper Portal with RMS 9+ not only provides the ability for housekeepers to check tasks off as they go but includes a Housekeeping Supervisor option for verifying tasks as well as the ability to report Discrepancies.

  7. More characters for SMS's

    At present SMS correspondence is restricted to 160 characters, per SMS, we struggle to fit lock box and property info into a 160 characters message.
    if you exceed 160 characters the message is sent via multiple messages, which can be confusing for the guest.

    The 160 characters per charged SMS is a GSM standard used by all service providers and not a limitation implemented by RMS.

    RMS 9+ has the ability to create SMS templates that will extend beyond the single message of 160 characters with a counter in the bottom right for users to keep track of their character count.

    The delivery of multi-part SMS is determined by the service provider and mobile device and may result in several messages when going over 160 characters.

    Currently available in RMS 9+ is the ability to open new tabs from menu items, Reservation or Account numbers to work on multiple screens in RMS 9+ without navigating away from incomplete or in progress work.

    To do this at any time, right click the menu item or reservation and select ‘Open in New Tab’ or ‘Edit in New Tab’. and a new browser tab will open without disrupting the view on the current tab.

  9. I'd like to have the Clean status of the room displayed in the reservation details.

    It would be useful having the clean staus in the reservation so you dont have to go back to the in/out movement screen to check the status.

    We are pleased to advise that currently available in RMS 9+ is the ability to view the Area status from the Area drop down on the reservation. This will allow users who are already in the reservation screen to quickly verify the status of the Area before completing check-in for the guest.

  10. Wanting to be able to assign a validity date range to the rates so that access to the rate is automatically managed

    Currently, in RMS, you have the ability to assign a Rate Type to a Company/Travel Agent/Wholesaler and it's valid for as long as Rates are loaded or until Rate Type is removed from the Company.

    As part of our business we negotiate with these corporations on their future rates, and from season to season, year to year these negotiated rate types may change. It would be really handy to be able to assign a validity date range to the rates so that access to the rate is automatically managed.

    Currently available in RMS 9+ Beta is the ability to set validation dates against Rates when assigning them to a Company or Travel Agent.

    This allows users to setup Rate Assignment for negotiated rates only during the contract period.

  12. Report Batches

    It would be great to have a feature to build a batch of reports that's able to be generated on demand rather than at a scheduled time (generate multiple reports in one click).

    eg at the end of the day, rather than running 10 or so individual reports for printing, we can custom build a batch by selecting the required reports and, when the batch is generated, it prints or emails those as appropriate.

    Thank you for your suggestion on a way we can improve RMS.

    Scheduled Reports was originally implemented to resolve this exact issue as each Report comes with its own unique set of build options.

    Setting these 10 reports up as Scheduled Reports and then printing from the PDF received if required will allow you to set each report’s build options as required and avoid the manual process of building each report yourself at the end of the day.

  13. Cancelation email-listing property name

    A cancelation comes through. The email notification has no property name on it, only booking reference number and source of booking. We have to go into reservation (we are not always in office so accessing on iPhone is very limited anyway) to find property then cancel other sites they do not connect to RMS.

  14. Remove block in RMS on refunding a payment to a guest from credit notes through a payment gateway

    RMS doesn't allow refunds to be processed from credit notes even though the funds are there, the card token is there, and payment gateway recognises a valid payment from the card on that account. This is poor system integration and poor functionality as it forces the RMS user to leave RMS and login to the payment gateway to process the refund. Should be accessible for Manager/Admin level users to ensure appropriate controls.

    Hi Graham,

    Thank you for your suggestion on a way to improve RMS.

    The ability to refund via a Credit Card Token through the Payment Gateway from RMS is currently available. The ability to do refunds can be set as a Security Profile restriction for users.

    Credit Notes however cannot be refunded as they are not monies and are only a credit.

    Currently available on reports in RMS 9+ is the ability to specify the sort order. For the Reservation Reports such as Arrival & Departure List this includes by Arrive or Depart Date.

    These can also be scheduled with the preferred build options to skip users selecting options and manually building the reports each day.

    This is a request for another EDM Filter in RMS please. When booking holiday guests in RMS because we have a business relationship with these guests, they are automatically opted in to marketing under the soft opt in. They then contact us if they would like to opt out of all marketing, or just marketing by email, post or telephone.     Currently available in RMS 9+ is the ability to custom label and use 3 additional EDM Filters for managing marketing preferences.

    To change the labels go to Setup > Property Options > Labels.

    We charge per person, and have minimums on our cabins. It would be nice to be able to set those minimums so when a guest wants to book a cabin with a 4 person minimum on it, they can only do that if they have 4 people or pay for 4 people.

    Currently available on Rate Setup in RMS 9+ is the ability to set the minimum number of guests permitted to book that Rate Type.

    The minimum and maximum permitted guests can be setup on the Additionals tab of the Rate Table, along with a Base Person amount to ensure revenue received for the room meets the occupancy criteria required by the property.

    An additional suggestion for your scenario would be entering the 4 person rate as the base price for the cabin, with the person base set to 4. This would mean even if someone did only book for 2 people, they would be paying that 4 person base rate.

    The Guest Merge options in RMS 9+ include multiple warnings as well as a display of what will be included in the Merged Guest Profile to provide users the ability to review the merge before continuing.

  20. Creating recurring bookings

    It would be nice to be able to create recurring bookings. For example we have a guest who stays every 4 weeks on a thursday so we add these in manually. it would be nice if we could set these to auto propagate in the same way that recurring appointments work in outlook.

    Currently available in RMS 9+ is the ability to setup Repeat Reservations. These can be created on the reservation screen from an existing reservation or from scratch by going to Reservations > Repeat Reservation in the side menu.
