RMS User Suggestion Box

RMS User Suggestions enables RMS customers to add new feature suggestions they would find of benefit as well as vote on suggestions made by other customers.

All feedback is actively monitored by RMS Product Development with the highest voted suggestions reviewed for inclusion in a future development cycle.

The more votes a suggestion receives by customers the sooner it goes for consideration into a future development cycle.

  1. Option to turn off the recalculate the tariff question that appears every time a reservation is edited.

    There should be an option to turn off the question to recalculate the tariff every time a reservation is edited. It is very time consuming and annoying.

    In RMS 9+ it is now possible to turn off the Rate Recalculation messages on the Booking Chart and in the Reservation screen, by selecting the Options button and un-ticking the option ‘Show Confirmation Messages.’

    When confirmation messages are not displayed, Rate Recalculation will be defaulted to ‘Yes’ and will not prompt the user each time.

  2. Send emails from property email address

    Allow emails sent from within RMS to have the property email address as a sent from address? When customers reply to the noreply@rms email address they assume the property receives the reply and we have no way of knowing they responded.

    The ability to email correspondence from RMS using a Property email address is available and the noreply@rms address will only be used in cases where Property Information & User Information do not have any email address setup.

    To use your Property email address, go to Setup > Property Options > Property Information and ensure a valid email address is saved in the ‘Email’ field.

  3. Scan & Store Guest IDs

    I would like to be able to scan guest ID's to Guest Accounts

    It would be good if we could scan guest ID's to their corresponding guest account for easy identification and to save us asking returning guests to provide ID if they have already done so before.

    There are several options available in RMS for storing photo identification on a Guest Profile depending on your preferences.

    The RMS Guest Portal can be configured to allow guests to upload their photo id which is then saved and viewable on their Guest Profile in RMS.

    We have an interface partner, Adria Scan which can be connected to for the purpose of guest identification.

    Alternatively if you already have a scanner at the property the guest ID can be scanned and the file saved on the Photo tab or Correspondence tab using the ‘Received in’ function and adding the ID file as an attachment.

  4. Function to copy channel restrictions

    The control panel currently has a button to copy tariff restrictions from one tariff code to another. This is very hand when setting up new tariif types. It would be good to have a similar function to copy restrictions from one channel to another.

  5. Enable sharer registration cards to be printed

    Enable sharer registration cards to be printed in the bulk registration option as they currently do not print out, so guests are arriving without registration cards pre printed.

  6. Triggered correspondence with an INCLUSION list as well

    At present the final option in triggered correspondence is to specify exclusions based on attributes like: company, tariff, unit, bkg source, travel agent.

    This is useful but there is a danger that correspondence will be sent to the wrong booking when more items are added to any of these attributes after the correspondence was created.

    Example: I want my TC emails to be sent to direct bookings only. So I create a TC and exclude all booking sources other than Direct. Later I add another booking source (e.g. Tourist Info Desk). Unfortunately, all bookings from this new booking source are…

    Currently available when setting up the Exclusion List on Triggered Correspondence is the ‘Allocated’ list that determines what entities are included in the Triggered Correspondence rule.

    When a System Administrator sets up a new Company, Travel Agent or Rate Type etc. they are prompted on save to include or exclude the new item from existing Triggered Correspondence rules.

  7. Auto add cleaning and linen charges to be added to an owner booking

    Currently if an owner books linen and clean is not added to the booking as it is for all other reservations. its easily overlooked as you have to manually enter it. Cleaning and linen should auto add as i would think having a clean and linen is the norm and not having it would be the optional deviation from the everyday process.

    Currently available in RMS when using End of Month Expenses is the ability to automatically charge the Owner these cleaning and related fees on Owner Bookings even if the Rate is set to 0.00.

  8. Ability to Group Room Types

    We have areas that are different "room types" but sold similarly and physically in the same area (cleaned together), it would be great to be able to group these by Floor, or Room type rather than printing by Site Type (as we might have (for example) a disabled room, or a twin vs king bed so requires a slightly different "type" which is then printed on a different page (Note: We do not have room numbers in order as some room numbers are repeated)) this would save paper!     Currently available in RMS is the ability to setup Groupings and apply these to Categories (Room Types) which can then be used to display by the selected Grouping on reports such as the Housekeepers Report.

    Currently available in RMS is the ability to record a guest on the Blacklist. The Blacklist is a system label that can be customised to suit the terminology of the property and be reported on.

    Blacklisted Guests show on the Guest Profile when completing a Guest Search and have a report to provide a full list of guests that have been blacklisted.

  10. I would like it if derived rates could have a Date Made validation

    Currently, if you want to have an online promo code for a sale that must be purchased between two specific dates, you must use a discount instead of a derived rate. However, a discount can't have a package attached to it so if you want to include a sundry item, like a bottle of wine, you can't use discount and must used derived rate. If derived rates had a Date Made validation it would work perfectly.

    Currently available using Derived Rates in RMS is the ability to attach a Discount and a Package. By attaching the Discount to the Derived Rate using Property Rate Rules the Discount Validation Options can be used to qualify the rate’s availability when using the Promo Code online.

    Currently available is the ability to setup Triggerd Correspondence using SMS or Form Letters.

    Triggers can be setup to send at a preset time, eg. 2 Hours Before Arrival, 1 Day Before Arrival or on Check-in and can have additional criteria to filter out unqualifying reservations. These filters can be set by Booking Source, Category, Rate Type, Company, Travel Agent or Validation Dates.

  12. Add a note which isn't a requirement

    I want to be able to add a note that will appear on the requirements list, but isn't from a preset list of requirements.

    IE a guest checks in on Monday and tells us they want to upgrade to a king room. We have availability from Wednesday onwards, so I want to create an action item note for reservations or reception to receive it on the requirements list to move them on that day. There is a note option buried in the correspondence tab, but I think it should be a part of the requirements so its visible on the…

  13. WiFi Network and Password as a merged field for Form Letters

    Have WiFi Network and WiFi Password as a field which can be merged into Form Letters to be automatically populated when generating emails to send to guests regarding their arrival and in-suite features.

    WiFi passwords have become a basic necessity and for security purposes vary by suite. This information is very easily stored in apartment descriptions and if added as a merge-able field can be easily shared and included in correspondence.

  15. Housekeeper Noticiations

    Would be great to have automated notifications set up for the Housekeepers when new bookings are received for the properties to which they are allocated. We are a holiday home company who contract out to two different cleaning companies and this feature would save us having to check with them to see whether they have seen a new booking drop in on the bookings chart they have access to.

  17. Guest details on Company invoice

    Company Invoices do not show the guest name. It should at least be an option for the Invoice to show the guest name. We are only a small operation and we have been requested that this occur. I am surprised no larger businesses do not need this for corporate clients.

    Currently available in RMS 9+ on any Tax Invoice generated where the Bill To is the Company or Travel Agent, the Guest Name will appear in the lower right section of the Tax Invoice Header (above the tax column) and in line with the Tax Invoice Number.

    As the Guest is not the bill recipient, these details do not show in the primary Bill Recipient section.

  18. Out Of Service

    Please make out of order and service two separate options because they have 2 different meanings. It will help us to have correct occupancy and revenue reports.

    As of now when we put room in maintenance it still includes in the inventory, which is not right. To take out the room from inventory we should use this option and if out service option if we still wants the room to show in the inventory.

    Most of the PMS has this option but not RMS which is sad that no one really taking this topic to light as it effects daily…

    Currently available in RMS 9+ is the ability to setup whether Maintenance Reservations are included as available inventory or not.

    To review this, have your System Administrator go to Setup > Property Options > Property Information and edit the property profile.

    In the ‘Options’ section of the Property Information tab a checkbox is available ‘Include Maintenance in Avail for Occupancy’. To exclude Maintenance as available, ensure this checkbox is not ticked then Save/Exit.

  19. Better tracking of hire equipment/trundles/portacots

    Currently we have our trundles, portacots etc set up as their own sites. We add them to a room booking so we can track how many we still have available. BUT the issue is that on the houskeeping report it doesn't tell our housekeepers which room has booked the trundle/portacot etc so we have to manually look this up and write it on their report.
    Surely there must be a better way to manage hire equipment bookings (as we could use this for bikes, buggies etc) which also charges them the correct amount and puts it on the housekeeping report…

  20. Booking Chart type chart for Add Ons

    I would like to see a booking chart style of chart that is availible for Add ons, specifically for those properties who use add ons to assign car parking.

    As we know it is an absolute pain to balance the add ons chart as there isnt a physical way to see who is assigned to who.

    A booking chart style chart I believe would assist greatly in helping properties to balance their car parking and other add ons especially when extending long stay bookings.

    Currently available in RMS 9+ is the ability to display Add Ons on the Booking Chart, allowing for viewing and managing add on reservations alongside existing reservations.

    This can be enabled per user by going to the Booking Chart > Options and selecting the checkbox ‘Display Add Ons’.

    In addition to this setting, a standalone Availability style chart is available for Add Ons.
